Report the issue clearly
Identify the rental location and the affected equipment, then explain what you have observed. Distinguish a request for routine servicing from a problem with entry, fittings or the unit’s condition. Include a contact who can answer follow-up questions.
If the position becomes unsafe, prevent use where appropriate and contact the responsible site manager and provider. Do not attempt repairs, waste handling or relocation that should be assessed by the appropriate professionals.
Discuss an extension before the end date
If work runs longer or an event schedule changes, contact us before the accepted rental period ends. Explain the new dates and whether usage or equipment requirements will also change. An extension is not automatic.
Keep the property access instructions up to date. A gate code or receiving contact that worked at delivery may no longer be usable when a service visit is due.
Prepare for the collection visit
Confirm the requested removal window and who can provide entry. Keep the approach free of vehicles, barriers and stored materials. Tell the provider if the equipment has become enclosed by later site activity.
Retain the agreed instructions and any updated scope. Clear communication helps distinguish a collection request from a servicing request and avoids leaving the property contact with conflicting expectations.
